School sport, sorted – free for schools

Fixtures, consent slips, transport and lesson-leave lists for PE departments. Free for schools – parents are the users and pupils have no accounts. An Article 28 data processing agreement is ready to accept in the app (a draft, under legal review).

The model

Parents are the users. Pupils have no accounts.

Under Keeping children safe in education 2026, schools in England are mobile phone-free by default, and parents should know who their child interacts with online. So on Squono, staff talk to parents – never to pupils. Pupils don't log in, and there are no direct messages to pupils.

The school stays the data controller, as the DfE's data protection in schools guidance expects, and Squono acts as its processor under an Article 28 agreement. The one thing Squono is responsible for itself is each parent's own account – and the agreement says so openly.

Where things stand

Schools mode is new. Every document in the supplier pack is a draft until a qualified adviser has reviewed it.
Squono is not yet Cyber Essentials certified, and hasn't had a penetration test yet.
Hosting, database, files and email are in London. The sub-processor list shows the exceptions.

Built around how school sport actually runs

Set up as a school

Choose your school type and phase – primary, secondary, all-through, special or independent – and the defaults follow: primary results private, payments off and chat off.

Two-factor sign-in for all staff

Every school staff account – admins, office, teachers and visiting coaches – must turn on two-factor authentication before it can see any school data.

Accept the DPA in the app

Your governing body, trust, council or board accepts the Article 28 agreement through a named signatory, and you can download a countersigned PDF.

Import pupils and parents by CSV

Upload an export from SIMS, Arbor or Bromcom. We keep the year group, never the date of birth, and nothing is sent until you press “Invite parents”.

Consent slips, four ways

No slip, one consent for the season, a slip per fixture or a slip per trip. Reminders go only to parents who haven't answered, with a live signed / declined / no reply board and an export for the trip leader.

Transport on the fixture card

Departure, vehicle, staff and return time come first on the fixture card, and one tap sends “Back at school at 17:40” to the families on that fixture.

Lesson-leave lists

Who's leaving lessons early, emailed to the staff you choose at 07:30, with a CSV for your MIS. Name, year, form and times only – never medical information.

Photos that follow your consent records

Import photo consent from your school records. Staff see “Do not photograph” badges, and location data is stripped from photos before upload.

Results at the level you choose

Team families, the whole school community or public. Primary results are private by default, with ESFA trophy events handled separately, and public results never name pupils.

Results for your website and the ESFA Portal

A copy-and-paste results snippet for the school website with no pupil names, and a helper that lays out a result ready to copy into the ESFA Portal.

School-to-school fixtures

Confirm a fixture with the other school: venue, times and the agreed result, both sides looking at the same thing.

House competitions and sports days

Points per placing across many events, an overall house table, and a big-screen view for the hall – free, like every tournament on Squono.

Results

Primary results stay private

ESFA's Standard Code of Rules for Education (Rule 11.B) lets competitions collect but not publish results for under-7s to under-11s, except for trophy events. So for primary schools, results are visible to team families only unless you mark a fixture as a trophy event. Check your own competition's rules too.

Photos follow the DfE's photos and videos guidance: your consent records win, unknown means no, and consent older than 13 months is treated as no. Location data is removed from photos, as the Welsh Government's learner image security guidance recommends.

Money

Payments stay with your school's system

Payments are off in Schools mode. The DfE's charging for school activities rules limit what schools can charge for, and you already have ParentPay, Arbor or Schoolcomms. Add a link to your own payment page instead, labelled as a voluntary contribution or an optional extra, and taking part never depends on paying.

What Squono never does with school data

No adverts – anywhere, for anyone.
No selling or sharing of data for anyone else's purposes.
No product analytics on pupil data, and no profiling.
No AI training, no face recognition and no automatic tagging.
No marketing to parents using the contact details you give us.
Chat is off by default in Schools mode.

Squono Pro (match video) is not available to schools, and is never promoted to parents of school teams. Pro is how Squono pays its way, so promoting it using school rosters would turn us into a controller of your data for our own purposes – the kind of role confusion the ICO found in its edtech audits. Pro video is also hosted in the United States, and there's no video-specific DPIA for schools yet, so it stays out of Schools mode.

What it doesn't do

No MIS integration yet – pupils and parents come in by CSV export from SIMS, Arbor or Bromcom.
No visit approval or risk assessments – EVOLVE or your local authority's system stays the record for those.
No pupil accounts, at any age.
No payments – link to your school's own payment system instead.
Not a safeguarding record system – concerns go to your DSL, in your own systems.

The supplier pack

The DfE's procuring edtech checklist and cyber security supplier questions are answered in advance, with everything dated and versioned. The DfE cyber security standards expect two-factor sign-in for staff cloud accounts – Squono makes it mandatory.
